Ageing Office Wi-Fi: When a Connectivity Upgrade Stops Being an IT Job and Becomes a Business Risk

The Upgrade Almost Every Business Defers
Wireless infrastructure is unusual among business systems because it degrades without ever failing outright. A server that stops responding creates an incident, a ticket, and a decision. A wireless network that was specified for a third of the current device count does none of those things. It simply gets slower, less predictable, and more frustrating, and the cost of that is absorbed quietly by everyone who uses it.
That is why the upgrade gets deferred. There is rarely a single event that forces the conversation. The access points are still online, the dashboard is still green, and nobody has written a business case because nothing has technically broken.
The result is that a large number of businesses are operating wireless estates that were designed around assumptions which no longer hold: fewer devices per person, lower bandwidth per device, a predictable number of people in the building on any given day, and applications that tolerated latency.
What "Still Working" Is Actually Costing
The operational cost of an ageing wireless network does not appear as a line item. It surfaces as behaviour.
Meetings that start four or five minutes late because the video call has to be re-established. Staff who plug into a desk port because they have learned not to trust the wireless for anything important. Support tickets that are logged against applications when the actual fault is the connection underneath them. Areas of a floor that people quietly avoid because coverage there is poor. Guest and contractor access handled through workarounds because the original design never accounted for it properly.
Individually, none of these justify a capital request. Collectively, across a full headcount and a full year, they represent a significant amount of lost productive time and a meaningful volume of IT support effort spent on a problem that is not being solved.
There is a second cost that matters more to some businesses than productivity: the wireless network is increasingly the access layer for things that are not laptops. Building management, access control, occupancy sensing, digital signage, AV systems in meeting rooms. When wireless is carrying operational technology rather than just office traffic, degraded performance stops being an inconvenience and starts being a continuity question.
Why 2026 Is the Year the Decision Gets Made
Two things have converged to make this the point at which most organisations act rather than defer.
The first is the equipment lifecycle. A significant proportion of enterprise wireless estates were installed or last refreshed around the Wi-Fi 5 and early Wi-Fi 6 generations. Those deployments are now reaching the end of their supported life, which means the decision is no longer whether to upgrade but whether to upgrade on your own schedule or on the vendor support schedule.
The second is that the current standard has matured. Industry trials of Wi-Fi 7 in enterprise environments have reported meaningful gains in throughput, latency and efficiency rather than headline speed figures alone.
Network World, reporting on a survey of 152 Wi-Fi decision makers, puts numbers against how widely this is being acted on. Sixty per cent of organisations plan a Wi-Fi upgrade within twelve months, and 96 per cent within two years, with most moving from Wi-Fi 6 to Wi-Fi 7. Performance requirements drive 67.1 per cent of those upgrades. Increased bandwidth consumption drives 59.9 per cent, user mobility and roaming 53.3 per cent, operational technology connectivity 50 per cent, and return to office policies 48.7 per cent. End of life equipment accounts for 40.8 per cent.
The figure worth pausing on is a different one. Only 46.7 per cent of the IT professionals surveyed believe their organisation’s existing approach to wireless represents complete success. That is a majority of businesses running an access layer they are not confident in.
The practical implication is that the upgrade market is going to be busy. Design capacity, survey capacity and installation capacity all get harder to secure when a majority of organisations are moving in the same twelve month window.
The Multi-Site Problem Nobody Specifies For
For a business operating from one building, a wireless upgrade is a project. For a business operating from eight buildings across four countries, it is a programme, and the difference is not simply one of scale.
The common pattern in multi-site estates is that each location was solved locally. A local contractor was engaged, local equipment was selected, and the installation was documented to a local standard, or not documented at all. Each site works in isolation. None of them work as an estate.
That produces problems that only appear later. Configuration differs from site to site, so a fault in one office cannot be diagnosed using knowledge of another. Firmware versions drift. The contractor who installed site three is no longer trading. The central IT team is asked to support infrastructure it has never seen, in a building it has never visited, through a local facilities contact who does not have the technical vocabulary to describe the problem.
Standardising the design, the equipment, the labelling convention and the documentation across every site is the single highest value decision available in a multi-site upgrade, and it is only available at the start.
What a Proper Wireless Upgrade Actually Involves
A wireless upgrade is frequently scoped as a hardware replacement exercise. Take out the old access points, put in new ones, reuse the existing positions and the existing cabling. That approach is cheaper on paper and it is the reason a significant number of upgrades fail to deliver the improvement that was expected.
The access point positions in an existing installation reflect the requirements, floor plan and device density of the time they were designed. If the building has been reconfigured, if occupancy patterns have changed, or if the device count per person has risen, those positions are no longer correct.
A properly scoped upgrade includes a predictive design based on the current floor plan and the actual requirement, a physical survey to validate it against real site conditions, and a post-installation validation survey to confirm the design was achieved in practice. Heat mapping is part of that process, not a substitute for it.
It also includes an honest assessment of the cabling underneath. New access points are constrained by the infrastructure that feeds them. Where the existing horizontal cabling or the switching and power budget cannot support the specification, that needs to be identified during design, not discovered during installation. Retrofitting cable into an occupied building after the access points have been ordered is where wireless projects lose both time and money.
What to Settle Before You Commission the Work
Four questions are worth answering internally before any partner is appointed.
What is the actual requirement, expressed in business terms rather than technical ones? Not "better Wi-Fi" but the density of devices to be supported, the applications that must work reliably, the areas where coverage is non-negotiable, and the tolerance for disruption during installation.
Who is accountable for the estate as a whole once it is installed? If the answer is a different contractor at each location, the estate will drift apart again within two years.
What documentation will be handed over, and in what format? As-built drawings, survey results, configuration records and labelling schedules should be specified as deliverables at the point of commissioning. Documentation that is requested at handover is documentation that gets assembled retrospectively.
Who will be available for support and change afterwards? The organisation that designed and installed the estate is the one best placed to maintain it. Where the delivery partner has no presence in the countries the business operates in, that support relationship will not hold.
None of these are technical questions. They are the questions that determine whether the investment delivers what it was supposed to deliver, and they are considerably cheaper to answer before the work starts than after it.
A Final Thought
Wireless has quietly become the primary access layer for most organisations. The wired network is still there, still carrying the load, and still the thing that determines whether wireless performs. But almost nobody connects to it directly any more.
That shift happened gradually enough that the infrastructure investment has not always followed it. Businesses that treat the wireless estate as a strategic asset, designed once, documented properly, and maintained consistently across every location, get a network that stops being a topic of conversation. That is usually the point of the exercise.
