Job Description

Position: Project Manager – Smart Buildings

Reports to: Operations Manager – Smart Buildings

Location: London

Overview

To work as a member of the Smart Buildings Operations team project managing the delivery of an array of technical solutions on behalf of our end customers. These projects are diverse in nature and may encompass several integrated building technologies including:

  • Local Area Network (Network Routing & Switching, Wireless infrastructure, Network Management, Telephony, Firewalls and Servers etc.)

  • Electronic Security systems (Electronic Access Control, IP surveillance, SIP Intercom, Intruder Alarms)

  • Distributed Antennae systems (DAS)

  • Audio-Visual systems (AV).

  • Structured Cabling systems (Copper and Fibre Cabling, Racks and Frames)

There will at times be a focus on managing the delivery of the above technologies within an Integrated environment i.e. a Smart Building or Landlords Common Network environment utilising the company’s project management processes and commercial controls.

In addition, the company as a leading systems Integrator will ensure when scoped that there is technical integration with other building systems including BMS, Lighting Controls, Energy Management, Lift controls, UPS etc.

Key Responsibility Areas

  • Successfully manage multiple projects of varying complexities and size from start to finish ensuring that each project is delivered on time, within budget and to the customers’ satisfaction in accordance with the company’s project management process.

  • Assume overall responsibility for each project’s delivery through the formation and leading of an operational project team. This will extend to liaison with each relevant internal function (Sales, Pre-sales, Finance and Service Delivery) and (if relevant) other divisions, sub-contractors and partners.

  • Throughout each project’s life, proficiently document the project using salient tools (the published documentation process) and monitor and report on project progress against the agreed plan with all relevant parties.

  • Effectively control of project costs, delivery schedules and implementation quality by: ensuring an effective, detailed handover from Sales to Operations; ensuring detailed and accurate agreement between the company and the customer on the scope of the project; ensuring that due diligence activities (such as site surveys) are completed at appropriate stages during the project; identifying, analysing, monitoring and mitigating project risks; identify issues and resolve or escalate them appropriately in order to ensure timely and high quality resolution; managing change and preventing scope creep; effective communication with all project stakeholders; liaising with Purchasing to ensure that hardware, software and licenses requisitions are processed promptly; liaising with suppliers to ensure products are delivered on time and to the correct location; requesting engineering resources via the Operational team; monitoring the quality of technical work through reviews of technical documentation (such as System Specifications, technical submittals and commissioning schedules); ensuring that the company complies with internal and site-specific H&S regulations; ensuring that where necessary, third parties (such as building contractors) are informed of the work, and delivery method thereof, to be conducted on site; invoices are raised on the customer in line with the agreed payment plan or invoicing schedule; project budgets are tracked using the approved methods; projects are closed in a timely fashion upon completion, securing Project Sign-off and ensuring that End Project documentation is supplied to the appropriate Technical and Contracts teams.

  • Project files and folders are kept up to date in line with industry standards and the company’s project management process and the company’s ISO requirements and are centrally located on company servers.

  • Build and maintain effective working relationships with clients and staff in all functions across the the company Group.

  • Record and transfer Lessons Learned from projects back to the business through the appropriate means.

  • Competently inform management and colleagues of progress on projects through WIP Meetings and Team Meetings, escalating issues as appropriate in a timely fashion to the Operations Manager and/or Projects Director.

  • Demonstrate commercial awareness by controlling (maintaining or exceeding initial margins) selling additional services and / or equipment to customers through project variations when appropriate, inclusive of maintenance and support uplifts.

  • Demonstrate technical awareness by ensuring cross technology reviews are undertaken to ensure inter-dependencies are established and factored into the delivery process thus ensuring true integration.

Success Measurements (take each key responsibility area and list results which will demonstrate successful performance in the role):

  • Projects are successfully managed, delivered on time, within budget and to the customers’ satisfaction in accordance with the company’s project management process. Repeat business and customer recommendations to other customers.

  • Responsibility for each project is demonstrated through effective leadership techniques and an informed project team.

  • Each project is capably documented using salient tools (detailed and accurate agreement between the company and the customer for each project scope is recorded), monitored and reported on against the agreed project plan with all relevant parties. Ability to use software tools to manage tasks, dependencies and completion.

  • Project costs are effectively controlled, project plans are scoped and agreed in accordance with customer requirements, project risks and issues are identified, analysed, monitored, mitigated and escalated in a timely and efficient fashion. Implementation quality standards are recorded and met; due diligence activities are completed where required, change is managed, scope creep is prevented, effective communication is maintained with all project stakeholders throughout the project lifecycle, equipment is ordered and delivered on time and to the correct location, resources are proficiently allocated, technical work is monitored. Ensures that the company complies with Internal and site-specific H&S regulations, projects are closed in a timely fashion upon completion and in accordance with the company’s project management process and invoices are raised on the customer in a timely manner.

  • Project files and folders are kept up to date in line with the company’s project management process and the company’s ISO requirements. Documentation produced will facilitate satisfactory internal and external governance audits thus helping to maintain the company's accreditation.

  • Effective working relationships with clients and staff are built and maintained.

  • Lessons Learned from projects are recorded and transferred to the business through the appropriate methods. Improvements in processes and methodology are suggested/communicated

  • Project progress is reported on through WIP Meetings, Team Meetings and Highlight reporting.

  • Reponses to ITTs, RFPs, etc. and engagement with Sales and Pre-sales departments in the pursuit of new business is fulfilled in a timely and successful fashion. Budgetary controls are set up, maintained and match the end to end process of a project.

  • Each member of the team is allowed to contribute their areas of expertise and to ensure that a full and integrated working solution is achieved by undertaking effective build mapping.

Relevant Experience, Knowledge & Training Required to Perform the Role

Essential

  • 7 to 10 years’ experience in leading and delivering technology projects to clients ensuring profitability and customer satisfaction.

  • A good technical understanding of networking concepts and designs i.e. IP addressing, VLANs, VRFs and Protocols

  • Good knowledge and use of MS Office tools (Word/Excel/PowerPoint) and MS Project.

  • Experienced and confident in handling customer meetings, presentations and trade co-ordination activities

  • Demonstrable experience of budgetary controls and payment cycles

  • Full UK driving licence (with the ability to travel to the company's offices and client sites across the UK and Ireland)

  • Ability to undertake site audits to ensure client dependencies are communicated in readiness for the company's installation

  • Working Health & Safety (CDM) knowledge include risk assessments and method statements

  • Ability to lead by example and integrate with the Smart Buildings engineering team

  • Will be able to satisfy security clearance requirements to ensure NSI compliance

  • Ability to ensure adherence to specifications, proposals and to convey to clients, consultants and engineering teams

Desirable (but not essential)

  • Has formal Project Management accreditation

  • Has experience in Electronic Security systems installation and NSI requirements

  • Has experience of Structured Cabling systems design and installation

  • Has some experience of containment systems and electrical connectivity
